Job Title: Community Outreach and Event Coordinator

Reports To: Director of Operations

Coordinates With: Volunteer Coordinators

Purpose of Job: To organize and schedule local fundraising events. To maintain database for internal and external promotion and record keeping.

Personal Qualities and Skills Required:

Excellent written and verbal communication skills Organizing skills Planning skills Diplomatic Proficient in basic computer applications, such as MS Word and Google Drive Record keeping skills Professional demeanor when dealing with difficult situations Ability to work well with a diverse group of volunteers

 

Principal Duties:

Track fundraising event details that are being conducted outside of the organization for follow ups and social promotion. Assist with planning, implementation, and production of fundraising events including vendor relationships, budgets, and event logistics. May coordinate activities related to event program. Provide administrative support in the research and solicitation of new and existing donors to support region special events. Perform administrative duties, with little supervision, exercising confidentiality, independent discretion, and judgment. Event Material Oversight: Works with Director of Operations and event hosts to develop materials related to events including external communications, printed event materials (including but not limited to signage, programs, etc.) and event scripts. Assist in performing regular administrative duties in a timely and efficient manner; including but not limited to recording and tracking donor contracts and payments, reviewing and submitting event related invoices for payment, writing acknowledgement and thank you letters to those affiliated with event, creating and updating donor/program related forms, researching both monetary and in-kind funding sources, writing solicitation letters. Work with event coordinator to ensure dates are available for event, work with volunteer coordinator to assign necessary, interested and available volunteers for event. Report follow up on events to Director of Operations and provide opinion on event success or possible changes for future events.

As an advertising design intern, you will have the opportunity to design ads for social media promotion, create in-house promotional material and web display, as well as print advertisement and videos. You will also coordinate with our advertising partners and ensure that they are being served in the best way possible. You will be successful in this role if you have an understanding and access to Adobe, Indesign, and are familiar with print advertising. Word Press experience is a plus. We look for someone who is a self-starter, driven, personable and creative to fill this role.
